Jamf redefines the workplace with Envoy
Bringing employees back to the office was no simple task for Jamf. Since the pandemic, this software company has been busy: they acquired another company and switched to a hybrid work model. This meant new people, new office protocols, and new routines. As Jamf’s Workplace Services Operations Manager, Allison Mata was faced with this daunting task: “I asked myself, how do we construct our offices for this new ‘work from anywhere’ model? How can I make this easiest for employees?”. The answer was Envoy.
Employees wanted the flexibility to work from home when they needed to, and collaborate in the office as needed. But in order to keep the workplace safe, admins needed to know who was inside each day. This would require a fundamental mindset shift for employees: what did it now mean to arrive at work? “We’re hardwired to just slide a key card and walk into the office, but that’s not the reality anymore,” said Mata. “These days, you have to be so aware of who else is in the office when you are. Are the people you need to collaborate with on-site? If so, where are they sitting?”
To achieve that level of visibility, Jamf’s Workplace Services team needed everyone to adopt a hotel-style workplace. And many employees had joined Jamf remotely; for them, ‘returning to work’ meant coming on-site for the very first time. Envoy made registering for the workplace as straightforward as swiping a key card. “Our goal was to make coming to work easy. Instead of making everyone download a bunch of new apps, we wanted just one super intuitive technology,” said Mata.
With Envoy Protect, employees could manage their hybrid schedules right from their phones. They could see who else planned to come in, and set their own schedules accordingly. Before coming on-site, they completed a health questionnaire confirming they had read through Jamf’s COVID-19 guidelines and expectations. Jamf employees began forming new workplace habits one check-in at a time. Admins tracked check-ins with the help of QR codes to immediately direct employees to the Envoy app and monitor who came in each day. This information would be critical if an employee contracted COVID-19.
Powering a safe and productive work environment
Streamlining safety was the first step in a successful return to office. Jamf also had to ensure that once on-site, employees were set up for success. Employees needed to easily access the spaces and tools necessary for their jobs. They could do all this in the Envoy mobile app.
“We optimized our offices for people to be productive and safe when they came in,” said Mata.
Now, employees use the Envoy app to see who’s coming into the office, reserve a desk, and book conference rooms — all with just a few taps. And thanks to Envoy’s integrations, admins can manage all essential workplace systems from one dashboard.
For example, Jamf uses Envoy’s Slack integration to notify employees about visitors or packages. They also use Envoy’s desk cleaning integration to maintain hybrid hygiene. “We can make sure our day porters are cleaning hotel desks on a daily basis,” said Mata. “This way, our teams feel confident that everything is being properly sanitized.”
Of course, no one has total control over employee safety outside the workplace. Jamf’s priority is to keep its employees as healthy and safe as possible. They found Envoy Protect’s contract tracing feature essential in helping this effort. Envoy Protect’s contact tracing feature shows admins who might be exposed to COVID-19 in the office and notify them immediately. This allows Jamf to maintain employees’ confidence in the company’s health and safety protocols.
Taking action based on workplace analytics
To manage their hybrid workforce, Jamf formed a cross-functional COVID task force. “It’s a data-driven effort that’s helping us understand how the pandemic is challenging our workplace and where we can improve,” explained Francis.
Envoy’s workplace analytics play a critical role in the COVID task force’s initiatives: “We look at how many people come in, how many no-show, and how close we get to capacity,” said Mata. “I personally look at Envoy analytics three to four times a week. Things can change so quickly day to day.”
In a world of chaos and concern, Jamf has found a happy balance of workplace safety and flexibility.
“We think Envoy is the perfect tool because it keeps our employees safe, and it gives them all of the functionality they need to be successful when they come into the office.”
