There’s no silver bullet to planning the return to the workplace. It’s difficult to know the right timing or strategy. But most workplace leaders do agree on one thing: keeping your workplace, and everyone who enters it, safe must be the #1 priority. Last month, we announced Envoy Protect, plus a number of new features to help you streamline office operations before you re-open. Now that companies are getting more prepared to welcome employees and visitors onsite, health and safety have become the priority. Today, you’ll find even more new features and integrations that will help you strengthen workplace security as you head into the office.

Make your sign-in flow smarter with rules

Now you can add rules to your sign-in flow to save your team time and keep your office safe. Set up your sign-in flow with custom questions and add rules that say if visitors meet certain conditions, Envoy will trigger an action. This makes it easy to keep out folks who don't meet your criteria by automatically notifying the right people on your team.

Protect your office from unwanted or unsafe guests

Recently, Envoy noticed a trend among our customers: more companies are collecting information from visitors and employees about how they're feeling to ensure they can come onsite. With Envoy, you can customize your sign-in flow to ask a short questionnaire to confirm that visitors are feeling healthy before they arrive and set a rule to deny their entry if they’re not. If your guests answer unfavorably to any of your questions, Envoy will prevent them from entering your workplace to make sure everyone onsite stays healthy and safe.

More flexible options to enforce different levels of security

Denying entry to unwanted guests is just the start of the smart workplace rules that you can set to add a layer of security to your visitor management. Soon, you’ll be able to set notifications and require approval based on people’s answers to questions. These new actions will give your team more flexibility as to what level of security you want to apply. The highest security option would be to deny the visitor’s entry based on their answer to a sign-in question. This prevents that visitor from continuing with their sign-in altogether. Next would be to require approval from someone on your team before that guest can continue with their visit. And finally, you can use notifications to just let the right person on your team know of a visitor's answer. It will be up to them whether or not they need to take action.For instance, if you need to remain in compliance with ITAR, you probably ask if visitors are US citizens when they sign in. If they answer no, you can notify your compliance officer so that they can determine whether they need to take action depending on if the visitor is a resident of a sanctioned country.

Why use rules instead of the block list?

If you’ve been using Envoy’s block list feature, you might be thinking that this functionality sounds familiar. Many customers have been using the block list to approve or deny entry based on a keyword in their sign-in flow. However, a block list is traditionally used to keep known people, such as competitors, ex-employees, or people you know who pose a risk, out of your workplace.Rules allow your team to set more definitive criteria for denying entry or setting notifications. This should help to prevent inaccurate alerts to your team from false-positive matches to your block list keywords. Rules also give you more flexibility to send the notification to the right person on your team. Using the ITAR example again, if a person matches your block list today, all of your "block list contacts" are notified and must approve every match. With rules, you can choose to send the notification directly to your compliance officer when a visitor isn't a US citizen so they can enact the proper protocol.

More features to increase workplace safety

Easily import or export your block list

While rules are preferred to use to manage visitor’s questions to your sign-in flow, the block list is best used to keep out known unwanted guests. Now, you can quickly add or update your block list by importing an external .csv file to Envoy. Or, if you want to export your block list for any reason, you can do that too.

Monitor the occupancy of your workplace with Density

Now, with the Density and Envoy integration, you can track the real-time capacity of your space using Density sensors and trigger alerts in your Envoy dashboard based on capacity configurations.  This helps to keep your office safe and healthy by preventing overcrowding.

Issue parking passes for your guests with AVPMi

As people continue social distancing, many will choose to drive instead of taking public transit when they visit your workplace. Now, guest parking is made easy with the AVPMi parking integration for Envoy. If your space uses AVMPi for parking management, you can automatically issue visitors a QR code parking pass for their upcoming visit when you pre-register them.
